Refund & Cancellation Policy

1. Subscription Billing

Inflowence services are billed on a recurring basis (monthly or annually). You may cancel your subscription at any time via the billing portal. Cancellations will take effect at the end of the current billing cycle. We do not offer pro-rated refunds for partial months of service.

2. Non-Refundable One-Time Fees

The following fees are strictly non-refundable once payment is processed, as they cover immediate labor and resource allocation:

Implementation Fees: Any fees associated with the setup of your account.

Onboarding Fees: Fees for training, strategy sessions, or account configuration.

White-Label Setup Fees: Any costs related to domain or brand configuration.

3. Usage-Based Fees & Credits

Inflowence acts as a pass-through for third-party communication costs. The following are non-refundable:

Carrier Fees: Charges for SMS, MMS, and Voice minutes.

AI Usage Credits: Credits purchased for AI assistant processing or transcription.

Wallet Balances: Any pre-paid balances for communication "topping up" are non-refundable and carry no cash value.

4. Chargebacks & Disputes

By using Inflowence, you agree to contact our support team to resolve billing issues before initiating a bank dispute. Any account that initiates a chargeback for valid "Non-Refundable" fees (as defined above) will be subject to immediate termination and a $100 administrative recovery fee.

5. Service Suspension

Inflowence reserves the right to suspend access to the platform for non-payment. Subscription fees will continue to accrue during periods of suspension for non-payment until a formal cancellation is requested.

By using Inflowence, you acknowledge that you have read, understood, and agree to this Refund & Cancellation Policy.

These fees cover immediate labor and resource allocation:

  • Implementation Fees: Account setup and configuration
  • Onboarding Fees: Training sessions, strategy calls, or account configuration
  • White-Label Setup Fees: Domain configuration, branding, or custom setup
  • Migration Fees: Data migration or import services
  • Consulting Fees: Strategy sessions or custom planning

Reason: These services are delivered immediately and cannot be "returned."

4.2 Usage-Based Fees

Inflowence acts as a pass-through for third-party communication costs. The following are non-refundable:

Carrier & Platform Fees:

  • SMS/MMS Charges: Per-message carrier fees
  • Voice Minutes: Phone call charges
  • WhatsApp Fees: Per-conversation Meta charges
  • Email Sending Fees: High-volume email delivery costs

Reason: These fees are charged to us by third-party providers and cannot be recovered.

4.3 AI Usage Credits

  • AI Processing Credits: Credits purchased for AI assistant processing, transcription, or generation
  • API Call Credits: Credits for API usage or integrations
  • Additional Resources: Any prepaid resources or capacity

Reason: Processing costs are incurred immediately when credits are used.

4.4 Wallet Balances & Prepaid Credits

  • Any prepaid balances added to your account "wallet" are non-refundable
  • Credits carry no cash value and cannot be exchanged for cash
  • Unused credits may expire per the terms of your plan
  • Credits are forfeited upon account closure

5. Professional Services

For Inflowence Pro Services (consulting, done-for-you services, strategy, etc.):

5.1 Service Agreements

Professional services are governed by separate service agreements:

  • Custom refund terms may apply per your agreement
  • Milestone-based billing may have different refund rules
  • Deliverable-based services are typically non-refundable once delivered

5.2 Deposits

  • Deposits for professional services are non-refundable
  • Deposits are applied to your final invoice
  • Unused deposits may be credited within 90 days of service completion
  • See your service agreement for specific terms

6. Chargebacks & Disputes

6.1 Contact Us First

Before initiating a chargeback, please contact us:

  • We resolve most billing issues within 48 hours
  • Chargebacks can result in account termination and additional fees

6.2 Chargeback Consequences

If you initiate a chargeback with your bank for valid charges:

  • Immediate account termination
  • $100 administrative recovery fee will be added to your account
  • Permanent ban from creating future Inflowence accounts
  • Loss of access to all data and services
  • No refund of prepaid services or credits

6.3 Valid Reasons for Chargebacks

Chargebacks are appropriate for:

  • Fraudulent charges you did not authorize
  • Charges after you cancelled and were confirmed cancelled
  • Duplicate charges that we refuse to correct

Not valid reasons:

  • Dissatisfaction with service (use cancellation instead)
  • Non-refundable fees as described in this policy
  • Forgetting to cancel before renewal

6.4 Dispute Resolution

For billing disputes:

  1. Contact our billing team first
  2. Provide documentation of the issue
  3. Allow 5-7 business days for investigation
  4. Accept proposed resolution or escalate internally
  5. Only pursue chargeback if we refuse to address legitimate billing errors

7. Service Suspensions

7.1 Suspension for Non-Payment

If your account is suspended due to non-payment:

  • Subscription fees continue to accrue during suspension
  • Services remain inaccessible until payment is received
  • Data is retained for 30 days during suspension
  • No refunds for the period of suspension

7.2 Suspension for Policy Violations

If your account is suspended for violating our Terms of Service or Acceptable Use Policy:

  • No refunds will be issued for any prepaid services
  • No credits will be issued for unused time
  • Subscription fees stop accruing upon termination
  • You forfeit all prepaid fees, credits, and services

8. Account Termination

8.1 Voluntary Termination (You Cancel)

When you cancel your account:

  • No refund for the current billing period
  • Access continues through the end of paid period
  • Export your data before termination
  • All prepaid fees and credits are forfeited

8.2 Involuntary Termination (We Cancel)

If we terminate your account for cause:

  • No refunds for any period
  • No credits for unused services
  • Immediate loss of access
  • All fees and credits are forfeited

9. Taxes and Fees

9.1 Sales Tax

  • Sales tax is charged where required by law
  • Tax amounts are added to your invoice
  • Tax rates may change based on your location
  • Taxes are non-refundable even if service is refunded

9.2 International Charges

For customers outside the United States:

  • Currency conversion fees may apply
  • Your bank may charge international transaction fees
  • You are responsible for any banking fees
  • Pricing is in USD unless otherwise specified

10. Free Trials

10.1 Trial Period Terms

If you sign up for a free trial:

  • No payment is required during the trial period
  • You must cancel before the trial ends to avoid charges
  • Trials automatically convert to paid subscriptions unless cancelled
  • You will receive reminder emails before trial expiration

10.2 Trial Cancellation

  • Cancel any time during the trial with no charges
  • No refunds needed since no payment was made
  • One trial per customer/business
  • Trial extensions may be granted at our discretion

11. Money-Back Guarantee

11.1 Satisfaction Guarantee (If Applicable)

Some plans may include a satisfaction guarantee:

  • Terms are specified on the pricing page or in promotional materials
  • Must be claimed within the specified timeframe
  • May require specific conditions to be met
  • Not available for all plans or services

11.2 Requesting Guarantee Refund

To claim a money-back guarantee:

  • Provide feedback on why the service didn't meet your needs

  • Export data before downgrading if needed

13. Business Customers

Business customers with custom agreements:

  • Volume discounts may affect refund calculations

  • Standard policy applies unless contract states otherwise

13.2 Purchase Orders

For customers paying via purchase order:

  • Refunds processed per your accounts payable procedures
  • May take 30-60 days depending on your organization
